Close a case
Close a case when support has ended, whether the person’s goals were met, they moved on, or they chose to stop. Closing keeps the full record for reference and stops further changes to it.
Before you start
- You need
casemanagement:write:cases. - Closing a case can’t be undone. There’s no way to reopen it. Afterwards the case is read-only: you can’t edit its details, needs, outcomes, planned support or external services, and you can’t add interactions. If support may continue, leave the case open.
- Before closing, make sure the final interaction and any outcome notes are recorded, and that planned support shows its true status.
Close the case
- Open the case and choose Close case.
- A window titled Record Outcome Measurements opens.
- If it lists Missing Measurements, see the next section. Otherwise read the confirmation, Are you sure you want to close “…”? This action cannot be undone.
- Choose Continue to Close Case to close it, or Cancel to keep it open.
The status changes to closed straight away and the case moves to the Closed tab of All Cases. It isn’t deleted.
Closing regardless of programme outcomes
If the case is linked to a programme that asks for outcomes when a case closes, the window lists them under Missing Measurements with a Record Measurement button for each. You need the Impact permissions to see this: impact:read:outcomes, impact:write:outcomes and programmes:read:programmes.
You don’t have to record them. Support can end for many reasons, including ones that leave no outcome to record, and the decision to close is yours. Choose Close without recording to close the case with measurements outstanding. See Record outcomes at case closure for recording them, including a current limitation.
What stays available
On a closed case you’ll see This case is closed and is read-only. Editing controls are hidden. Everyone with access can still read both tabs, and you can still use Add task for follow-up work.
If something goes wrong
Failed to close case means the case wasn’t closed, and its status goes back to open. Check you hold casemanagement:write:cases and try again.
