Knowing who to thank, who to follow up and who is drifting away is the heart of keeping supporters. The Stewardship page does the sorting for you each night, so your team can start the day with a ranked list of donors who need attention.

Before you start

  • You need relationships:read:contacts. You’ll only see actions for contacts you’re allowed to see. See the permission catalogue.
  • Suggestions are made only for contacts marked as donors, using their paid incoming payments, recurring gifts and touchpoints. Make sure gifts are recorded and interactions logged, or the list will be thin.
  • The list currently covers donors only. Check-ins for beneficiaries aren’t included yet.

Review the list

  1. In the Relationships section of the sidebar, open Stewardship.
  2. The table lists the highest-priority actions first. Each row shows:
    • Contact: the donor’s name, which opens their record.
    • Action: what to do, as a coloured badge. See Stewardship action types.
    • Reason: why it was suggested, for example “First-ever gift 4 days ago — send a personal thank-you.”
    • Context: the donor’s last gift, any recurring gift, their lifetime total and the date of their last logged contact, where known.
  3. To focus on one kind of action, choose it from All action types. Clear the selection to see everything again.

Last run at the top shows when the list was worked out. The page shows up to 200 of the highest-priority actions; if your beehive has more, lower-priority ones won’t appear until the higher ones have been dealt with.

You’ll also see a contact’s top action in the Stewardship card on their record, with a View all stewardship actions link back to this page.

Act on a suggestion

Select the contact’s name to open their record, then do whatever suits: call or write to them, log a touchpoint to record it, or record a payment if they’ve given.

There’s no “done” button. The list is worked out again overnight from the latest records, so an action you’ve dealt with drops off once the reason for it no longer applies. For a follow-up, that means logging a touchpoint after their last gift.

When the list updates

Actions are recalculated every night at 02:00 UTC for every beehive, and each run replaces the previous list. Refresh and Refresh now reload the most recent list; they don’t recalculate it, so changes you make today show up after the next nightly run.

If something goes wrong

  • “No stewardship actions yet.” Either the first nightly run hasn’t happened, or no donor currently meets any of the rules. Check that donors are marked as donors and have payment history.
  • “Failed to load stewardship actions. Please try again.” Choose Refresh. If it keeps happening, check with your administrator that you have relationships:read:contacts.
  • A donor you expected isn’t listed. They may not meet any rule today, they may be beyond the first 200 actions, or you may not have access to their record.
