The nightly stewardship run gives each donor at most one action. It checks the rules below in order, from top to bottom, and the first one that matches is the action that donor gets. For how to use the list, see Use stewardship actions.
Action types
| Order | Action | Badge colour | Rule | Priority |
|---|---|---|---|---|
| 1 | Thank new donor | Teal | The donor has exactly one gift, made in the last 30 days | 95 |
| 2 | Upgrade recurring gift | Violet | The donor has an active recurring gift that hasn’t changed for over a year | 80 |
| 3 | Re-engage major donor | Red | The donor’s lifetime giving is over 1,000 in your beehive’s home currency and their last gift was over two years (730 days) ago | 75 |
| 4 | Follow up | Blue | The donor has no active recurring gift, their last gift was between 91 and 540 days ago, and no touchpoint has been logged since that gift | 65 |
| 5 | Re-engage lapsed donor | Orange | The donor’s last gift was over 18 months (547 days) ago | 50 |
Higher-priority actions appear first on the Stewardship page. Donors with the same priority are not ranked further.
What the rules count
- Donors: only contacts marked as donors are considered.
- Gifts: incoming payments with the status Paid. Pledged and invoiced payments, and refunds, don’t count. A gift’s date is its date paid, or the date it was recorded if that’s missing.
- Recurring gifts: a recurring payment counts as active when its status is Active or has not been set. “Unchanged” means the recurring payment record hasn’t been updated for over a year.
- Lifetime giving: the donor’s paid gifts added up in your beehive’s home currency. A gift in another currency is included at its recorded reporting amount; if any gift has no reporting amount, the lifetime total can’t be worked out and the donor can’t receive Re-engage major donor. If your beehive has no home currency set, a lifetime total is only worked out for donors whose gifts are all in one currency.
- Touchpoints: the date the most recent touchpoint for the contact was logged.
Responding to each type
| Action | A good next step |
|---|---|
| Thank new donor | Send a personal thank-you, then log it as a touchpoint |
| Upgrade recurring gift | Thank them for their ongoing support and, where appropriate, ask about increasing it. Update the recurring payment if they agree. |
| Re-engage major donor | Plan personal contact from someone who knows them, and log it |
| Follow up | Get in touch about their last gift and log the conversation as a touchpoint; this clears the action at the next run |
| Re-engage lapsed donor | Send a re-engagement message and log it |
When actions change
The list is recalculated every night at 02:00 UTC and replaces the previous one. An action disappears when its rule no longer matches, for example once a second gift arrives (Thank new donor), a touchpoint is logged after the last gift (Follow up) or a new gift is recorded (the lapsed types). The donor may then match a different rule further down the list.
