Fundraising Pipeline → Pipeline settings in the sidebar holds two things your whole team works with: the stages every opportunity moves through, and the dropdown choices offered when you add someone to the funnel. Each section saves separately.

Before you start

To do this You need
See the pipeline stages pipeline:read:opportunities (without it, the stages section isn’t shown)
Change the pipeline stages pipeline:read:opportunities, pipeline:write:opportunities and account:admin:team
See Sources and Opportunity types pipeline:read:funnel
Change Sources and Opportunity types pipeline:write:funnel and account:admin:team

If you can see the stages but not change them, you’ll see “Only administrators who can edit opportunities can change the stages.” See the permission catalogue.

Change the pipeline stages

Under Pipeline stages, stages are split into Open stages, where opportunities are worked, and Closed stages, which record how an opportunity ends.

  • Rename the pipeline in Pipeline name (up to 120 characters), or a stage by editing its name (up to 80). Every opportunity in a renamed stage follows it.
  • Add a stage with Add an open stage or Add a closed stage. A new open stage goes after your last open stage, as the last column on the board. A closed stage needs an outcome (Won, Lost or Neutral) before you can save.
  • Reorder open stages with the up and down arrows. The order is the order of the board’s columns. Closed stages aren’t columns and have no order.
  • Change a closed stage’s outcome at any time. Opportunities that already closed in that stage keep the outcome they closed with.
  • Archive a stage you no longer use, and turn on Show archived to restore it later. An archived stage leaves the board and the Move to stage menu. You can’t archive a stage that still holds opportunities, closed ones included, so move them out first.
  • Remove is only available for a stage you’ve added and not yet saved. Saved stages are archived, never deleted.

You can’t switch a stage between open and closed. Add a new stage and archive the old one instead. Keep at least one open stage that isn’t archived, and no more than 50 stages in all.

When you’re ready, choose Save stages, or Discard changes to start again. The board updates a moment later, and the editor is locked until it has.

If saving stages fails

  • “These stages changed since you opened them.” Someone else saved changes while you were editing. Choose Reload, then make your changes again.
  • “A stage you archived still holds opportunities.” Choose Go to Pipeline, move those opportunities to another stage, then archive it.
  • “Your changes were accepted but are taking a while to show.” Reload to see the current stages.

Change Sources and Opportunity types

These are the choices offered when you add a prospect to the funnel: Sources (where a prospect came from) and Opportunity types (the kind of support you’d be asking for). Your beehive starts with a default list of each.

  1. Choose Add an entry to add a choice, or edit a name to rename one. Renaming updates every funnel entry that uses it.
  2. Archive a choice you no longer want offered. It leaves the dropdown but still shows on entries that already use it. Turn on Show archived to restore one.
  3. Choose Save changes. The dropdowns update a moment later.

Every entry needs a name before you can save.
