A fundraising activity is the appeal, event, third-party fundraiser or acquisition campaign that prompted someone to give. Linking payments to an activity lets your team see what each piece of fundraising brought in. For background, see Touchpoints, payments and fundraising activities.

Before you start

  • To see activities you need relationships:read:fundraisingactivities. To create, edit or delete them you also need relationships:write:fundraisingactivities. See the permission catalogue.
  • Fundraising activities are available in every beehive. You’ll find them under Fundraising in the sidebar, as All Activities.

Find an activity

  1. Open All Activities. The Fundraising Activities page lists the newest activities first, with their Type, Created and Last updated dates.
  2. Type in Search by name… to find activities whose name begins with what you type.
  3. Choose a type from All types (Appeal, Event, Third-party fundraiser or Acquisition) to narrow the list. Choose Clear to remove both filters.
  4. If there are more activities than fit on the page, choose Load more at the bottom.

Create an activity

  1. On the Fundraising Activities page, choose Add Activity.
  2. In Add a fundraising activity, enter a Name and choose an Activity type. Both are required.
  3. Choose Create activity.

The new activity appears straight away as a faded row with a Pending badge, then becomes a normal row once it has been saved, usually within a few seconds. If you have a search or type filter on that the new activity doesn’t match, it won’t appear until you clear the filter.

Edit an activity

You can change the name and type from the list or from the activity itself.

  • From the list: choose the pencil icon on the activity’s row, update Name or Activity type in Edit fundraising activity, and choose Save changes.
  • From the activity: open the activity, change the fields on the Overview tab and choose Save. A Saved. message confirms the change.

Delete an activity

Deleting an activity can’t be undone. The payments linked to it are not deleted.

  1. Choose the bin icon on the activity’s row, or the bin icon beside the activity’s name on its detail page.
  2. Check the name in Delete fundraising activity, then choose Delete.

Work from the activity’s detail page

Select an activity’s name to open it. The header shows its name, its type and when it was created. The tabs are:

Tab What it’s for
Overview Edit the name and type. See Fundraising activity fields.
Activity A timeline of what has happened on the activity. Use the filter chips to narrow it.
Expenses & ROI Record what the activity cost. See Track fundraising activity expenses.
Payment defaults Values to fill in on payments coded to this activity. See Set payment defaults on an activity.
Files Attach documents and photos: choose Click to browse or drag files here, or drop files onto the panel. Use the download and delete icons beside each file.
Segments Record the target audience. See Link segments and tasks to an activity.
Tasks Tasks linked to the activity. This tab only appears if you have tasks:read:tasks.

The Overview tab also shows Linked programmes, Tags and Fundraising pages sections. At the moment the programme picker has no options to choose from, although programmes already linked to an activity are listed as links. The Tags and Fundraising pages sections show “coming soon”. To see the pages raising money for an activity, use Find fundraising pages.

When you record a payment, choose the activity in Activity, in the section about what prompted the payment. You can then narrow Page to the fundraising pages under that activity.

If something goes wrong

  • “Failed to load fundraising activities. Please try again.” Reload the page. If it keeps happening, check with your administrator that you have relationships:read:fundraisingactivities.
  • “Activity not found or failed to load.” The activity may have been deleted, or you may not have access. Choose Back to list.
  • “Failed to delete. Please try again.” The activity has not been deleted. Try again, and check that you have relationships:write:fundraisingactivities.
