Resources track physical things your team lends or hands out: collection tins, card readers, banners, event kit. Each one records how many you have, whether it comes back, and who holds it. Restricted funds, tribute funds and programmes have their own records; a resource doesn’t provide their financial or programme behaviour.

Before you start

Viewing resources needs relationships:read:contacts; creating and changing them needs relationships:write:contacts. Checking a resource out or in also records a touchpoint, which needs relationships:write:touchpoints.

Add a resource

  1. Open Relationships → Resources and choose New resource.
  2. Enter a Description. This is the resource’s name throughout the app.
  3. Enter Quantity available, a whole number of at least 1.
  4. Choose at least one subtype.
  5. Answer Is this resource returnable? (on by default).
  6. Optionally search for contacts under Connections to link them.
  7. Choose Create resource.

The resource can take a moment to appear in the list. To find it later, type at least two characters of its description or type on Find a resource.

Lend and return a returnable resource

  1. Open the resource and choose Check out.
  2. Under Check out to, search for the contact taking it, and add a Note if useful.
  3. Choose Check out. The profile now says Checked out to that person, and a touchpoint is recorded on the timeline.
  4. When it comes back, choose Check in. If it’s out with several people, choose Who is returning this resource? and then Check in.

If the contact is already linked to the resource by another connection type, the form warns you that checking out replaces that link, and that checking in removes it along with the activity shown through it.

Send a non-returnable resource

For items that don’t come back, the button is Send Resource. Choose the contact under Send to, add a note if you like, and confirm. The profile then says Sent to that person. There’s no return step.

Maintain a resource

There’s no separate edit page. On the profile:

  • Use the pencil beside the subtypes to change them.
  • Use the Returnable switch in Resource details to change whether it comes back.
  • Edit Custom Fields and Tags in their cards.
  • Choose Record touchpoint to log an interaction about the resource.

The profile has no delete button.
