Review and approve sponsorship opportunities

Every sponsorship opportunity is reviewed before it’s offered to sponsors. As a reviewer, you’re checking that the profile is accurate, respectful and safe, and that the right consent is in place. This guide also covers putting an approved one on hold and releasing it.

Before you start

  • To see the Approval queue tab and to approve or reject, you need sponsorship:approve:opportunities and sponsorship:read:opportunities.
  • Submit for review, Put on hold and Release need sponsorship:write:opportunities.
  • If the programme requires a second reviewer (the default), you can’t approve a sponsorship opportunity you created, edited, wrote a profile for or recorded consent for.

Submit for review

When the profile and consent are ready, open the sponsorship opportunity and choose Submit for review. It moves to Pending review and the profile is locked while it waits.

Review the queue

  1. Open the programme and choose the Approval queue tab. It lists everything waiting for review, or shows Nothing is waiting for review.
  2. Select a name to open it.
  3. Read the Profile tab carefully. Check there’s nothing that could identify or locate the person, and that it’s written with dignity.
  4. Check the Consent tab shows Participation consent that’s Valid or Expiring soon, and Image use too if the profile includes a photo.

Approve

Choose Approve. You’ll see Done. The change may take a moment to show. and the status becomes Available.

Approval is refused, with a message saying why, if:

  • you’re not allowed to be the second reviewer for it
  • a required profile field is missing (the message lists which)
  • participation consent, or image-use consent when sponsors can see the photo, isn’t in force

Approving the first sponsorship opportunity in a programme locks five of its configuration settings. See Configure a sponsorship programme.

Reject

Reject when something needs changing. The reason is shown to whoever edits the profile next.

  1. Choose Reject.
  2. Enter a Reason that explains what to change. Don’t include personal details in it.
  3. Choose Reject.

The status becomes Rejected and the reason appears at the top of the page. It can then be edited and submitted again. Without sponsorship:read:identity, you’ll see that it was rejected but not the reason.

Put on hold and release

Put an Available sponsorship opportunity on hold when it shouldn’t be offered for a while, for example while circumstances change or a concern is looked into. Choose Put on hold; the status becomes On hold and the profile can be edited.

To make it available again, choose Release. Release is offered only if the profile hasn’t changed since it was put on hold, and participation consent must still be in force. If the profile was changed, choose Submit for review so the new version is approved.
