Not every payment your organisation receives is a gift. A ticket purchase, a grant or a corporate sponsorship isn’t a donation, and must not be claimed for tax relief. ThirdSectorBee tells them apart by each payment’s allocation type, and by whether that type is set to count as a gift.
Where the setting lives
Open Relationships → Configuration, then Allocation types. Each type has a switch, Counts as a gift for tax and giving reports. Changing allocation types needs the relationships:admin:settings permission.
Every beehive starts with these types:
| Allocation type | Counts as a gift |
|---|---|
| Donation | Yes |
| Purchase | No |
| Grant | No |
| Sponsorship | No |
You can add your own, such as Raffle, and decide for each whether it counts. A saved type can’t be renamed or removed, because payments record it by name; make it Inactive to stop it being offered for new payments.
The rules
- A payment with no allocation type counts as a Donation, so it counts as a gift.
- A type ThirdSectorBee doesn’t recognise is not a gift. An unknown name never counts towards tax relief by default.
- Making a type inactive doesn’t change whether it counts. Payments already recorded with it are still treated according to its gift setting.
- Changing the setting applies to every payment of that type, including past ones.
What the setting affects
| Where | Effect |
|---|---|
| UK Gift Aid claims | A payment whose type isn’t a gift is not eligible. When you create a claim, each candidate is re-checked against the current settings, so a type you’ve switched off is left out and a type you’ve switched on is reconsidered. |
| Danish SKAT report | Only gifts are reported. See Report Danish gifts to SKAT. |
| Giving dashboard | Total raised counts only gifts. See Giving dashboard. |
The gift setting is one condition among several. For Gift Aid a payment must also be inbound, Paid, from an individual rather than an organisation, covered by an active declaration, and not marked as ineligible; see Understanding Gift Aid. For the SKAT report it must be inbound, Paid and paid in the tax year.
Before you change a setting
Switching a type on can bring older payments into your next Gift Aid claim or SKAT file. Switching it off removes them from claims you haven’t yet created, but not from claims or files already made. Talk to your finance lead first, and review the next claim or file carefully after any change.
