Record each event you run, from a quiz night to a funder visit, so the payments and conversations that come from it can be linked back and counted.
Before you start
- You need
events:read:eventsto see events andevents:write:eventsto create or change them. The write permission doesn’t include viewing, so you need both. See the permission catalogue. - If the event raises money or serves a programme, create the fundraising activity or programme first so you can link it.
Create an event
- In the sidebar, open Events → All Events and choose Add Event.
- Enter a Name (up to 200 characters) and, if you like, a Description (up to 2,000).
- Set when it Starts and Ends. Turn on All-day event to enter dates only. The end can’t be before the start.
- Under Event manager, choose who’s Managed by: Internal (team member), then Select user, or External (supporter), then Select contact. This is optional.
- Under Location, enter the Venue name. You can find the address with Search address, which fills in Town and Postcode, or type them in yourself.
- For a ticketed event, turn on This is a ticketed event and choose Add ticket type for each kind of ticket (see below).
- Under Capacity, set the Maximum capacity and Minimum viable attendance if they help your planning. The minimum can’t be more than the maximum.
- Under Purpose, tick Programme impact, Fundraising or both, then choose the Linked programme or Linked fundraising activity.
- Choose Create Event.
New events start as Draft. See Change an event’s status to publish it.
Add ticket types
For each ticket type, enter:
- a Ticket type name, such as “Standard” or “Concession”
- Free or Paid. A paid ticket needs a Price and a three-letter Currency, such as GBP
- the Quantity available.
Use the remove icon to delete a ticket type you no longer need.
Ticket types describe how the event is set up. ThirdSectorBee doesn’t sell tickets or take bookings for them. To bring in orders from Ticket Tailor, see Connect Ticket Tailor. That integration links Ticket Tailor events to fundraising activities, not to events on this page.
Edit an event
- On All Events, open the actions menu on the event’s row and choose Edit.
- Change what you need. The edit form also has a Status field.
- Choose Save changes.
Count an event towards a programme
If the event contributes to programme objectives, tick Programme impact, link the programme and set its capacity when you create it. Event-based objective counts have their own rules and aren’t attendance totals.
