Connect TeamKinetic so that your volunteers appear as contacts, with their volunteer status and hours, and your volunteering opportunities appear in Events. When a linked volunteer’s email consent changes in ThirdSectorBee, their Send emails setting in TeamKinetic is updated to match.

Before you start

  • TeamKinetic must be switched to Enabled on the Integrations overview. See enable a service first.
  • Connecting, changing settings and disconnecting need teamkinetic:settings:change. Sync now needs teamkinetic:sync:initiate.
  • Ask TeamKinetic support for an Admin API key for your site. TeamKinetic keys only work from addresses TeamKinetic has been told about, so ask them at the same time to allow requests from ThirdSectorBee. If the key is refused when you connect, this is the most likely reason.

Connect your account

  1. Open Integrations → TeamKinetic.
  2. Paste the key into API key and choose Connect.

ThirdSectorBee checks the key with TeamKinetic before saving it, and the key is never shown again. Connecting starts bringing in your volunteers straight away; a large account can take a few minutes.

Get profile changes straight away

TeamKinetic can tell ThirdSectorBee when a volunteer’s profile changes. After connecting, the page shows an address under Updates from TeamKinetic. Choose Copy address and give it to TeamKinetic (or enter it in TeamKinetic’s webhook settings, if your site has them) for the Volunteer profile updated webhook. Keep the address private: it contains a secret.

Without it, everything still comes in at the six-hourly sync.

What comes in

In TeamKinetic In ThirdSectorBee
A volunteer A contact, matched by email address (a new address creates a new contact), with their name, phone and address. The contact’s TeamKinetic volunteer ID, Volunteer status, Volunteer hours and TeamKinetic profile custom fields are filled in.
Registering as a volunteer A [TeamKinetic] Registered as a volunteer touchpoint on the date they registered.
Logging more hours A [TeamKinetic] Volunteer hours logged touchpoint saying how many hours were added, and the new total.
An opportunity An event in Events, with its name, description, dates, location and number of places. You can turn this off with Bring in volunteering opportunities.

A volunteer with neither an email address nor a first name is not brought in.

Under Consent that controls “Send emails”, choose the consent purpose that should decide whether TeamKinetic emails a volunteer. Only purposes with an Email channel are offered. Then, for every contact linked to a TeamKinetic volunteer (one with a TeamKinetic volunteer ID):

  • Giving Email consent for that purpose turns Send emails on in TeamKinetic.
  • Withdrawing it turns Send emails off.
  • A contact recorded as a child or as deceased always has Send emails turned off.
  • A contact with no recorded answer is left as TeamKinetic has them.

Each change is recorded as a [TeamKinetic] Email preference updated touchpoint on the contact’s timeline. Changes only go one way: turning Send emails on or off in TeamKinetic does not change consent in ThirdSectorBee. Before changing a volunteer, ThirdSectorBee checks that their email address in TeamKinetic is the contact’s, so a volunteer ID typed onto the wrong contact changes nothing.

Choose Do not update TeamKinetic to stop.

How often it updates

Profile changes arrive within a minute or two once TeamKinetic has the webhook address. Everything else (new volunteers, hours and opportunities) arrives at the six-hourly sync, which also picks up anything the webhook missed. Sync now reads every volunteer and opportunity again. Nothing is duplicated, so it’s safe to run whenever you think something is missing.

Pause or disconnect

  • Turn off Keep TeamKinetic in sync to pause in both directions without disconnecting.
  • Disconnect TeamKinetic removes the stored key and stops updates. Contacts, events and timeline entries already brought in are kept.

Known limits

  • TeamKinetic’s API does not say which opportunity a volunteer’s hours were for, so hours are recorded as a total on the contact rather than against an event, and attendance at an opportunity is not brought in.
  • Volunteer custom fields and questions in TeamKinetic are not copied.
  • A volunteer deleted in TeamKinetic is not deleted here.
