Create and manage programmes

A programme describes a strand of your work, such as a youth project or a food bank, so your team can track its funding and the difference it makes. This guide covers finding programmes, creating one, keeping it up to date and archiving it.

Before you start

  • Your beehive needs the Programmes module.
  • To see programmes you need programmes:read:programmes. To create or edit them you need programmes:write:programmes. Archiving needs programmes:admin:programmes. See the permission catalogue.
  • Objectives are stored as impact measurements, so the objectives editor only appears if you also hold impact:write:outcomes (and, when editing, impact:read:outcomes).

If Programmes hasn’t been switched on, All Programmes shows Programmes is not active with an Enable Programmes button. After enabling, you’ll see We’re getting Programmes ready for you… while the beehive is set up.

Find a programme

Open All Programmes in the sidebar. The tabs filter the list by status: All, Planned, Seeking Funding, Active, Paused, Completed and Archived. Each row shows the Name, Type, Status, Start Date and End Date. Select a row to open the programme.

If your beehive also uses Beneficiary Sponsorship, a Type filter lets you show only General or Beneficiary sponsorship programmes.

Create a programme

  1. Open All Programmes and choose New Programme.
  2. Enter a Name. This is the only required field.
  3. Add a Description, Start Date and End Date if you know them.
  4. If offered, choose a Programme type. It appears only when your beehive uses Beneficiary Sponsorship, and you can’t change it later.
  5. Choose a Status: Planned, Seeking Funding, Active, Paused or Completed. New programmes start as Planned.
  6. Use Objectives for a written summary of what the programme aims to achieve.
  7. Under What will this programme achieve?, add any measurable objectives. See Set programme objectives.
  8. Choose Create Programme.

You’ll return to the programme list. A new programme may show Saving… for a moment while it’s added to the list. If it takes longer than expected the badge changes to Sync delayed and a Still syncing message appears. Wait for it rather than creating the programme again, or you may end up with two.

What’s on a programme page

The programme page shows its name, status and description, with up to three tabs:

Tab What it shows
Overview Start and end dates, the written objectives, and when the programme was created and last updated
Funding Terms of Restriction and Funding Needs. See Review a programme’s funding
Impact The programme’s impact measurements, grouped by level. Shown only if you hold impact:read:outcomes. See Add and review impact measurements

A sponsorship programme also has a Sponsorship settings button, if you can view sponsorship, which opens it in Beneficiary Sponsorship.

Edit a programme

  1. Open the programme and choose Edit.
  2. Update the Name, Description, Status, dates or Objectives. The Programme type is shown but can’t be changed.
  3. Add, change or remove measurable objectives if needed.
  4. Choose Save Changes.

You’ll see Programme updated. If you also see The programme was saved, but some objectives could not be., your other changes are safe: reopen Edit and check the objectives.

Archive a programme

Archiving retires a programme you no longer run. Archiving can’t be undone: there’s no way to restore an archived programme, and its status can no longer be changed.

  1. Open the programme and choose Archive.
  2. Read the confirmation, Archive this programme? This cannot be undone., and confirm only if you’re sure.

The programme moves to the Archived tab. You can still open it and edit its other details.

If something goes wrong

  • Failed to create programme. Please try again. or Failed to update programme. Please try again.: nothing was saved. Check your connection and try again.
  • Failed to archive: the programme wasn’t archived. Check you hold programmes:admin:programmes.
  • The Impact tab is missing: you need impact:read:outcomes and programmes:read:programmes.

Next: review funding needs or learn how impact measurement works.
