When supporters give regularly through a payment provider, ThirdSectorBee can match each settlement the provider reports to the right recurring payment and record the payment for you. A provider connection tells it which provider account to reconcile. For platforms that collect outside ThirdSectorBee and that you manage with files, add a collection system instead.
Before you start
- Adding, pausing or deleting a provider connection needs both
relationships:write:fundraisingactivitiesandrelationships:admin:settings. - Collection systems need
relationships:admin:settings. - Set up at least one bank account and payment method first; a connection needs both. See Relationships settings.
- For Stripe, connect your Stripe account first; see Connect Stripe. The connection needs the connected account ID, which starts
acct_. - GoCardless connections are managed on the GoCardless integration page, not here. When the GoCardless integration is turned on, this page says “GoCardless is now set up under Integrations → GoCardless.”
Add a provider connection
- Open Relationships → Configuration, open any page in the Money group, and select Provider connections in the Related links at the foot of the page.
- Choose Add connection.
- Choose the Provider and enter a Name, such as “Stripe — main account”.
- For Stripe, enter the Connected account ID.
- Choose the Bank account the provider pays into and the Payment method to record. Every payment created by reconciliation is stamped with these.
- Choose Save.
You’ll see “Connection added. Reconciliation will pick it up on the next run.”
Adjust or pause a connection
Each connection in the list shows its name, provider and account ID, with these controls:
- Date tolerance (days): how far from a collection’s due date a settlement can arrive and still be matched to it. It starts at 5 and saves when you leave the field.
- Enabled: turn this off to pause reconciliation. The connection shows a Paused badge, keeps its settings and is no longer offered when setting up recurring payments.
Delete a connection
Before you delete, consider pausing instead. Deleting stops reconciliation attributing settlements for every recurring payment linked through this connection, until each one is linked to another connection.
- Select the delete icon beside the connection.
- Read the warning in Delete this connection? and choose Delete connection.
Add a collection system
- Open Relationships → Configuration → Collection systems.
- Choose Add collection system and enter a Name, such as “Bacs bureau”.
- Choose Save.
Active collection systems appear under External — collection run managed via files when you set up a recurring payment. Their collections aren’t reconciled automatically. Once saved, a collection system can be archived but not removed, because recurring payments may refer to it.
Next steps
- Link each supporter’s arrangement to the connection with their mandate or subscription reference; see Set up a recurring payment.
