Record sponsorship consent

Before anyone is offered for sponsorship, the person, or someone with responsibility for them such as a parent or guardian, must agree. The Consent tab is where you record that agreement, and any later withdrawal, so your team can always show what was agreed, by whom and until when.

Before you start

  • You need sponsorship:write:opportunities to record consent, and sponsorship:read:opportunities to view it.
  • Have the consent in front of you: who gave it, their relationship to the person, the date it was given and when it should be reviewed.
  • Consent must be freely given and understood. If you have any doubt about whether someone understood what they agreed to, speak to your safeguarding lead before recording it.
Type Covers Needed for
Participation Taking part in the programme and having a profile shown to sponsors Every approval. Without it in force, the whole profile is hidden from sponsors
Image use Showing the person’s photo to sponsors Approval, when the programme lets sponsors see Photo. Without it in force, the photo is hidden

Consent records can’t be edited or deleted. Check the details before you choose Record consent; to correct a mistake, record a new entry, which replaces it.

  1. Open the sponsorship opportunity and choose the Consent tab.
  2. Under Record consent, choose the Type: Participation or Image use.
  3. Choose the Decision: Given or Withdrawn.
  4. Enter Given by (name) and Relationship to the person sponsored, for example “Self” or “Mother”.
  5. Set Given on. It can’t be in the future.
  6. For consent that’s given, set Expires on. It’s required and can be at most three years after Given on.
  7. Choose Record consent.

You’ll see Consent recorded. It may take a moment to show.

Record a withdrawal

If someone withdraws consent, record it straight away: choose the Type, set Decision to Withdrawn, enter who withdrew it and when, and choose Record consent. From then on the profile, or the photo for image use, is hidden from sponsors. You don’t need to change the sponsorship opportunity’s status for that to happen, but tell your programme lead so any sponsors can be contacted appropriately.

Above the table, the current state of each type is shown at a glance. The table lists every record; for each type, the latest one decides:

Column What it shows
Type Participation or Image use
Decision Given or Withdrawn
Given on / Expires on The dates recorded
State For the current record: Valid, Expiring soon (within 30 days), Expired, Withdrawn or Not recorded. Older records show Superseded
Given by Who gave it. Hidden unless you hold sponsorship:read:identity

Expiring soon consent is still in force. Use it as a prompt to talk to the family or person about renewing it before it lapses.
